More Students, More Efficient

A leading business school in Canada needed to respond to increasing enrollments in their graduate student programs. They recognized that the character and effectiveness of the student journey is vital to drive up satisfaction, “delighted students” being the main way growth can be sustained. The faculty turned to Aligned Outcomes and its digital twin technology to help streamline the back-office operations which create the student journey. The strategy was to make the student journey more helpful and efficient – improving the student experience while maintaining the faculty’s current administrative resource base.

Operational Challenges

Complex Supporting Processes

Over time, processes that support the graduate student journey had evolved in a disconnected “silo” format, causing unnecessary back-and-forth with students, dramatically extending the student journey and causing unnecessary student frustration along the way.

Inefficient Resource Assignments

Process discrepancies were taking valuable time away from staff members who often worked independently from team members. This caused unbalanced workloads and increased the student journey.

Limited Data Sharing

Information was not being shared across the organization. Data was being taken out of centralized systems to be used and analyzed separately, not integrated with existing systems.

Ad Hoc Systems

Further information complexities impacted the student journey due to separate, and at times, incompatible systems being utilized throughout interactions between staff members and with students.

Ineffective Measurement

There was a lack of integrated metrics to track key milestones across the student journey, end-to-end. Further, measurements were not being centralized in a way that could better inform decision making across the organization.

Overall Lack of Alignment

Ultimately, the student journey was not supported by deliberate and fully integrated processes and organization.

Fully Assessed Student Journey

A detailed, digital “Faculty Twin” was rapidly developed to identify key pain points across the student journey. Within the digital twin, all steps in the student journey were fully integrated back to supporting processes, organization detail, systems, procedures and measurement protocols.

Opportunity identification

Leveraging Aligned Outcomes’ methodology, faculty subject matter experts, students, and leadership were efficiently engaged to co-develop the digital twin. As a team all improvement ideas and opportunities were captured collaboratively.

Future State Operating Model & Execution Plan

Aligned Outcomes delivered a comprehensive design for an operational future state that streamlined supporting processes and efficiently assigned existing resources, with recommended systems and measurement improvements. Each improvement was reflected in an integrated, execution plan that fit with the Faculty’s calendar and available resources. The results were a more efficient administrative operation and shorter student journey.
